Key Responsibilities1. Facility & Infrastructure ManagementOffice Upkeep: Ensuring that electricity, water, internet, and air conditioning systems are functioning 24/7.Repairs & Maintenance: Scheduling periodic maintenance for office equipment, machinery, or the building structure.Safety & Security: Supervising security personnel and ensuring fire safety protocols (extinguishers, drills) are up to date.2. Vendor & Procurement ManagementSupplies: Managing the inventory of stationery, pantry items, and cleaning supplies.Negotiation: Finding and onboarding vendors for office services and negotiating contracts to get the best prices.Asset Management: Tracking company assets (laptops, furniture, vehicles) and maintaining an asset register.3. Documentation & Office SupportRecords Management: Maintaining physical and digital files for contracts, legal documents, and office expenses.Travel & Logistics: Handling hotel bookings, flight tickets, and local transport for management or visiting clients.Event Coordination: Organizing office meetings, training sessions, or staff events. Required SkillsMultitasking: The ability to handle a plumbing issue, a courier delivery, and an executive meeting request all at the same time.Communication: Clear and professional verbal and written communication (Email, Memos).Software Proficiency: Strong skills in MS Office (especially Excel for expense tracking and Word for letters).Problem-Solving: A troubleshooting mindset to fix operational hiccups quickly.
