Job Summary:The Executive Assistant to the COO provides high-level administrative support to the ChiefOperating Officer, managing schedules, coordinating meetings, and handling informationrequests. The role involves performing clerical functions such as preparing correspondence,receiving visitors, arranging conference calls, and scheduling meetings.Key Responsibilities:Calendar Management: Maintain and manage the COOs calendar, including schedulingmeetings, appointments, and travel arrangements.Communication: Act as the primary point of contact between the COO andinternal/external stakeholders. Screen and prioritize phone calls, emails, and othercommunications.Meeting Coordination: Prepare agendas, attend meetings, and record minutes. Follow upon action items to ensure timely completion.Documentation: Draft, review, and edit reports, presentations, and other documents.Ensure all documentation is accurate and professionally presented.Project Management: Assist the COO with special projects, including research, dataanalysis, and reporting. Coordinate cross-departmental initiatives as needed.Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logisticsfor the COO.Event Planning: Organize and manage company events, executive meetings, and otherfunctions as required.Confidentiality: Handle sensitive and confidential information with discretion andprofessionalismOffice Management: Oversee the operations of the executive office, including orderingsupplies, maintaining records, and ensuring the office environment is organized andefficient.Support to Executive Team: Provide administrative support to other executives as needed,ensuring smooth communication and coordination within the executive team
