Making arrangements for ensuring that MDs schedule including travel is managed efficiently without any delays or hitches. Ensure MDs administrative requirements such as travel arrangements, tele-conferences, meetings and appointments are arranged efficiently Handle all incoming & outgoing correspondence emails, letters, faxes etc. and put them to the MD for disposition. Track & follow up on actions required where needed. Draft emails, letters and faxes and prepare presentations for the MD Prepare & distribute weekly itinerary report of the MD to all concerned Filing of documents - electronic as well as paper in a way that makes for quick retrieval of necessary data. Regular interaction with all Unit & Functional heads for receiving and communicating information as well as follow-ups on various issues Acting as secretary for all meetings chaired by managing Director and circulating and follow up the minutes of the meeting. Maintain confidentiality of the data / information, as desired. To look after all the functions related to Recruitment, Selection, Performance Appraisal, Retrenchment and Placement according to company policy. To look after all the functions related to salary, wage & leave administration. To look after all the functions related to Training and development. Vehicle management, arranging of Bus & multi utility vehicle for pickup & dropping of staff & worker to site. Coordinating with site staff for site requirements & effective transportation. Coordinating with Camp Boss for Housekeeping activities of camp, guesthouse & office block, floor maintenance, furniture maintenance, wash room maintenance, pest control activities etc. Management of sports & gym facility for staff & worker inside the camp. Provide uniforms to the employees as per company policy. Preparation and monitoring of administrative budget. Coordinating, organizing the Suggestion & Kaizen Scheme & Suggestion Meeting in every week and organizing Open House Programs. Policy formulation and Implementation. Conduct the meeting between staff & worker. Counseling of employees.
