- Provide general administrative assistance to the management and other departments, including organizing meetings, managing calendars, and coordinating schedules.- Prepare, format, and file important documents related to lift and elevator installations, maintenance contracts, safety records, and customer correspondence.- Answer phone calls, emails, and inquiries from clients, customers, and suppliers, providing information about lift and elevator products, services, and maintenance schedules.- Assist with tracking and managing office supplies, spare parts, and equipment for lift and elevator projects, ensuring timely restocking and inventory control.- Input and update customer, maintenance, and installation data into the companys database or CRM system, ensuring accurate and up-to-date records.- Record service requests for elevator and lift maintenance, repairs, and installations, and ensure that these requests are forwarded to the appropriate teams for timely action.- Assist with generating invoices, processing payments, and maintaining accurate financial records related to lift and elevator services.- Help in organizing and coordinating lift and elevator installation and maintenance projects, assisting project managers with scheduling, documentation, and logistics.- Communicate with suppliers, contractors, and service providers to order parts, schedule maintenance visits, and ensure smooth execution of lift and elevator-related projects.- Assist in preparing monthly, quarterly, or annual reports on maintenance activities, service contracts, customer feedback, and other operational data.- Organize and maintain records of service agreements, maintenance contracts, warranties, and compliance documents related to lift and elevator services.- Ensure office equipment and facilities are functioning properly, coordinating with relevant teams for repairs or replacements as necessary.
