Ensure ongoing understanding of industry events, projecttimelines, crucial meetings and other commitments of thesenior team to manage expectations of the ExecutiveDirectors attendance (liaising with the senior team asrequired) Ability to forward plan Understand the where, when and why of meetings theExecutive Director is required to attend Understand the nature of meetings that can be marked asoptional for the Executive Director Understand the Executive Directors private commitmentsso far as they affect diary availability Seek understanding and take instruction from the ExecutiveOfficer as requiredRequest, manage and process the expenses of all teammembers including the Executive Director following theexpenses policy Ensure the appropriate expense processes are followedincluding relevant deadlines for submission (chasing asrequired) Raise any concerns on expenses with the Executive Officerin the first instance.Ongoing review of the Executive Directors emails andcorrespondence to ascertain priority of response tocommunicate to the Executive Director Respond to administrative emails and phone calls on behalfof the Executive Director Respond to requests (meeting, attendance, generalrequests) from internal and external stakeholders verballyand in writing (as required) Reach out to internal and external stakeholders on behalfof the Executive Director as required.Proactive management and support with internal andexternal meetings to include preparing agendas, coordinating supporting papers and document and producingminutes Proactively ensure follow-up actions are swiftly progressed,liaising with relevant parties to ascertain progress.Candidate must be open to travel whenever required.Candidate should apply only when they are open to travel.
