Key Responsibilities
Clerical Support: Prepare, format, and proofread routine correspondence, memos, invoices, and reports. Handle photocopying, scanning, and filing of physical and digital records.
Front Desk Management: Greet visitors, clients, and vendors professionally, directing them to the appropriate person or department.
Call & Email Handling: Manage the main office telephone line, answer basic inquiries, take accurate messages, and route calls. Monitor and respond to general company emails.
Data Entry: Maintain up-to-date spreadsheets and internal company databases, including customer records, visitor logs, and daily office trackers.
Office Inventory & Supplies: Monitor stock levels of office stationery, pantry items, and cleaning supplies. Coordinate with vendors for timely replenishment within budget guidelines.
Logistics & Courier Handling: Manage incoming and outgoing mail, couriers, and shipments. Ensure all deliveries are properly logged and distributed to the respective team members.
Coordination: Assist in scheduling basic meetings, maintaining office calendars, and organizing office events or lunch arrangements for clients.
