Responsibilities:
Front Desk Management:
Greet and welcome visitors in a friendly and professional manner.
Manage the reception area, ensuring it is clean and organized.
Maintain a tidy and presentable reception area.
Telephone and Email Handling:
Answer and direct incoming calls to the appropriate person or department.
Respond to general inquiries and provide information to callers.
Manage and distribute incoming emails, messages, and faxes.
Visitor Assistance:
Assist guests with sign-in procedures and issue visitor badges.
Notify employees of visitor arrivals.
Provide basic information about the organization and its services.
Appointment Scheduling:
Schedule and coordinate appointments, meetings, and conference rooms.
Keep track of staff movements and inform relevant parties.
Administrative Support:
Provide administrative assistance to various departments as needed.
Assist with data entry, filing, and other clerical tasks.
Manage and order office supplies.
Office Maintenance:
Oversee the cleanliness and maintenance of the office, washroom, cabins, and desks.
Handling Deliveries:
Receive and log incoming packages and mail.
Notify staff members of package arrivals and distribute accordingly.
Problem Resolution:
Address and resolve issues or concerns raised by visitors or callers.
Redirect inquiries to the appropriate department or personnel.
Maintain Security:
Monitor and control access to the premises.
Follow security protocols and report any suspicious activities.
