Job Description

Key Responsibilities

Manage and maintain the Director's calendar, appointments, meetings, and travel schedules.

Coordinate internal and external meetings, prepare agendas, and record minutes of meetings (MOM).

Screen and prioritize emails, calls, and correspondence on behalf of the Director.

Draft professional emails, reports, presentations, letters, and business documents.

Follow up with department heads and stakeholders on pending tasks, projects, and action items.

Coordinate with clients, vendors, and business partners as required.

Handle confidential and sensitive information with utmost discretion.

Organize business travel arrangements, including flights, accommodation, and itineraries.

Assist in preparing MIS reports, dashboards, and management presentations.

Monitor and track key business activities and provide timely updates to the Director.

Support special projects and business initiatives assigned by the Director.

Ensure effective communication between the Director's office and various departments.

Required Qualifications

Bachelor's Degree in Business Administration, Management, Commerce, or any related field.

3-8 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities.

Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and virtual meeting platforms.

Ability to work under pressure and meet deadlines.

High level of professionalism, integrity, and confidentiality.

Preferred Skills

Strong follow-up and coordination skills.

Excellent presentation and documentation abilities.

Problem-solving and decision-making mindset.

Experience in logistics, supply chain, or corporate environments will be an added advantage.
