the admin executive is responsible for ensuring the smooth functioning of office operations by managing administrative tasks, supporting management, coordinating with different departments, and maintaining compliance with company policies. this role requires strong organizational, communication, and multitasking skills to keep the workplace efficient, professional, and well-structured.
key responsibilities
office & administrative management
oversee day-to-day administrative operations of the office.
manage office supplies, stationery, and equipment maintenance.
handle correspondence (emails, letters, memos, calls) in a professional manner.
schedule and coordinate meetings, conferences, and travel arrangements.
maintain filing systems (digital and manual) for records and documents.
staff & hr support
assist hr in employee attendance, leave records, and payroll support.
support recruitment processes (interview scheduling, onboarding, induction).
organize staff training sessions, workshops, and team-building activities.
ensure compliance with company policies and labor laws.
finance & procurement
manage petty cash, invoices, and expense reimbursements.
assist in budget preparation and cost monitoring for administrative expenses.
liaise with vendors and service providers for procurement and contracts.
negotiate costs and ensure timely payments to suppliers.
operations & coordination
coordinate with different departments to provide admin support.
manage travel, visa, and accommodation arrangements for staff and guests.
organize board meetings, prepare agendas, and record minutes.
ensure smooth operations during audits and inspections by maintaining proper documentation.
oversee facility management (security, housekeeping, maintenance, utilities).
compliance & reporting
ensure compliance with workplace safety, data protection, and regulatory requirements.
prepare and submit mis (management information system) reports on admin activities.
maintain confidentiality of sensitive company and employee information.
implement process improvements to enhance administrative efficiency.

qualifications
bachelor’s degree in business administration, management, or related field
0–6 years of experience in administration or office management (freshers may be considered for junior roles)
familiarity with hr, finance, or procurement processes preferred
fluency in english (additional languages a plus)
flexibility to handle extended hours or urgent requirements
