about the quantum hub
the quantum hub (tqh) was founded in 2017 with the aim of supporting businesses, development organisations and policymakers with complex public policy problems in india. tqh is based out of new delhi and operates at the intersection of public policy research and communications. our suite of services is designed to support clients across the full policy lifecycle - from formulation to implementation. we help clients stay ahead of developments, craft well-informed policy positions, and execute effective communication, partnership, and advocacy strategies. tqhs multidisciplinary team brings together professionals educated at leading institutions in india and abroad, with extensive experience across government, political offices, and the policymaking ecosystem.
about the role
ylac and tqh are seeking a diligent and organized admin & accounts executive to support the smooth functioning of our operations. this role combines responsibilities across administration, finance, vendor management, and compliance. the ideal candidate will be detail-oriented, able to manage multiple tasks, and comfortable coordinating with vendors, partners, and internal teams.
key responsibilities
1. administrative support
oversee office maintenance, housekeeping, and pantry supplies.
manage travel arrangements, correspondence, and vendor coordination.
handle event logistics including booking venues, setups, and payments.
2. accounting & finance
process vendor and consultant payments.
manage office payments (rent, utilities, wi-fi, fuel, etc.).
process monthly invoices in tally and share with clients; maintain payment tracker.
track and manage expenses for ylac and tqh.
handle reimbursements, petty cash, and share gst/tds data with ca on a monthly basis.
3. payroll management
prepare monthly salary sheets, manage bank transfers, and track leaves.
collect monthly consultant invoices and share form 16a quarterly.
manage employee insurance (additions/deletions, e-cards, premium payments).
support onboarding of new hires (email ids, systems access, orientation).
4. compliance & reporting
maintain tds sheets and ensure timely challan payments.
track and maintain client contract renewals.
requirements
46 years of relevant work experience in administration and finance.
graduate/postgraduate degree (preference for candidates with background in administration or finance).
strong organizational and multitasking skills.
proficiency in tally and ms excel
ability to work independently, with attention to detail and a problem-solving mindset.
