# Vendor Relationship Manager

We work with a large network of nurseries, ceramic artists, craftsmen, furniture makers, packaging suppliers, printers, food vendors, logistics partners, and many other specialist suppliers. ## Role Overview

The Vendor Relationship Manager will be the primary point of contact for approximately 80% of Planterie's vendors.

This role is responsible for ensuring that every interaction with vendors is professional, timely, and mutually beneficial. The ideal candidate understands that great vendor relationships are built through trust, responsiveness, fairness, and attention to detail.

This is not just a procurement role. It combines relationship management, operations, coordination, negotiation, documentation, and quality management.

## Key Responsibilities

### Vendor Relationship Management

* Build and maintain strong working relationships with Planterie's vendor network.

* Become the primary point of contact for most vendors.

* Ensure vendors receive timely responses and clear communication.

* Develop goodwill so vendors are willing to accommodate urgent requests, special orders, and operational challenges.

* Resolve day-to-day issues professionally while preserving long-term relationships.

### Vendor Coordination

Coordinate with vendors on:

* Purchase orders

* Production timelines

* Delivery schedules

* Dispatch updates

* Custom orders

* Material availability

* Order modifications

* Delays and escalations

Ensure commitments made by vendors are tracked and followed through.

### Product Knowledge

Develop a deep understanding of:

* Every product category we source

* Different vendors for similar products

* Product specifications

* Materials and finishes

* Pricing

* Lead times

* MOQ (Minimum Order Quantity)

* Packaging requirements

* Seasonal availability

* Alternative suppliers

Become the internal expert on how our supply ecosystem works.

### Quality Control

* Verify products against agreed specifications before acceptance.

* Identify quality issues early.

* Coordinate replacements, repairs, or corrective action with vendors.

* Maintain quality benchmarks for each supplier.

### Documentation & Compliance

Ensure every vendor provides documentation in the correct format, including:

* GST details

* Quotations

* Tax invoices

* Purchase bills

* E-way bills (where applicable)

* Bank details

* Payment-related documentation

Coordinate with the accounts team to ensure documents are complete and payments are not delayed due to missing information.

### Vendor Database Management

Maintain accurate records of:

* Vendor contact details

* Product catalogue

* Price lists

* Payment terms

* Lead times

* Delivery performance

* Quality history

* GST information

* Bank details

* Previous orders

* Vendor specialisations

Keep this information updated and easily accessible.

### Negotiation & Cost Optimisation

Work with vendors to:

* Negotiate better pricing

* Improve payment terms

* Reduce lead times

* Consolidate deliveries

* Improve packaging

* Explore better sourcing options

* Identify cost-saving opportunities without compromising quality.

### Internal Coordination

Work closely with:

* Store Manager

* Sales team

* Accounts

* Operations

* Founders

to ensure products arrive on time and information flows smoothly across teams.
