Job Description

Key Responsibilities

1. Administrative & Planning Support

Assist the Event Manager in drafting event proposals, tracking timelines, and maintaining updated checklists.

Manage event documentation, including guest lists, RSVP trackers, vendor contracts, and invoice records.

Coordinate internal meetings, take minutes, and follow up with team members on pending action items.

2. Vendor & Venue Coordination

Act as the primary point of contact for external vendors (caterers, printers, AV technicians, fabricators) to ensure timely delivery of assets.

Gather quotations from multiple vendors and assist in cost-comparison tasks.

Coordinate with the venue staff regarding layout setups, floor management, and timing restrictions.

3. On-Site Execution & Stage Management

Supervise the loading, unloading, and setup of branding materials, booths, stalls, and stage backdrops.

Manage registration desks, handle badge distribution, and assist attendees/job seekers during the event.

Assist in managing the event flow, ensuring speakers, hosts, and schedules stick to the exact timeline.

4. Post-Event Logistics

Oversee the organized dismantling of event materials and ensure items are returned to storage or vendors.

Collect feedback forms from participants and compile data into basic summary reports.
