position overview

the personal assistant (pa) provides high-level administrative, organizational, and personal support to the ceo. this role is primarily remote, with the expectation to travel with the ceo for business trips as needed. the pa must demonstrate exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

key responsibilities

administrative support

manage the ceo’s calendar, schedule meetings, appointments, and travel arrangements

organize and maintain digital files, documents, and records

draft, proofread, and edit correspondence and reports

respond to emails, calls, and inquiries on behalf of the ceo

prepare meeting materials and assist with presentations

personal & executive tasks

coordinate personal errands and tasks that can be completed remotely

support event planning, reservations, and scheduling of social engagements

track expenses, manage budgets, and prepare financial summaries (as needed)

communicate with vendors, service providers, and household or external staff

travel responsibilities

accompany the ceo on domestic and international business trips

manage travel logistics including itineraries, accommodations, and meeting schedules

provide on-site support during events, meetings, or conferences

ensure the ceo’s schedule runs smoothly while traveling

logistical & organizational duties

maintain task lists and ensure deadlines are met

conduct research and compile summaries or recommendations

prioritize incoming communications and flag urgent matters

anticipate needs and proactively handle administrative challenges

qualifications & skills

previous experience as a personal assistant or executive assistant

strong organizational and time-management skills

excellent verbal and written communication abilities

proficiency with remote office tools (ms office, google workspace, project management apps)

ability to maintain confidentiality and handle sensitive information

flexible schedule with the ability to travel on short notice

professional demeanor, problem-solving mindset, and strong interpersonal skills

valid passport and driver’s license (if required for travel logistics)

work environment

primarily remote work

travel required to accompany ceo on business trips (domestic & international)

flexible availability based on ceo’s schedule and travel demands
