we are seeking a highly professional and experienced senior executive secretary to provide strategic and administrative support to senior executives. this role requires excellent communication and organizational skills, along with the ability to multitask in a dynamic and fast-paced environment. the ideal candidate will manage sensitive communications, high-level scheduling, and confidential information while serving as a central coordination point across departments and stakeholders.
key responsibilities
executive support
manage complex calendars for c-suite or senior leadership, including proactive prioritization, rescheduling, and time optimization.
coordinate and prepare executives for meetings with internal and external stakeholders, ensuring all materials, briefs, and background notes are timely and accurate.
draft, review, and finalize high-level correspondence, board communications, confidential memos, investor updates, and executive presentations.
handle information flow in a timely and accurate manner, acting as gatekeeper and point of contact for senior executives.
maintain discretion and confidentiality at all times, especially when dealing with sensitive corporate, legal, and personnel information.
travel & logistics
plan and oversee end-to-end international and domestic travel logistics, including multi-country itineraries, visa processing, accommodation, ground transport, and contingency planning.
prepare comprehensive travel dossiers including executive briefs, meeting schedules, and risk checklists.
liaise with global offices and external partners to coordinate high-level visits or offsite events.
meeting coordination
schedule, organize, and facilitate high-stakes meetings, including board of directors, investor relations, and strategic planning sessions.
prepare detailed agendas, manage pre-read circulation, record minutes, and ensure timely follow-through on action items.
coordinate across multiple time zones and locations, ensuring all stakeholders are aligned and informed.
operational coordination
act as a strategic communication conduit between senior management and internal teams, ensuring alignment, clarity, and timely execution of executive directives.
support the planning and execution of leadership offsites, investor summits, confidential internal briefings, and senior stakeholder events.
represent the executive office—and by extension, the firm—in professional communications with external parties, including financial institutions, government officials, legal advisors, and strategic partners.
initiate and coordinate meetings with banks, consultants, and occasionally political or regulatory stakeholders as required, maintaining professionalism, discretion, and organizational integrity at all times.
qualifications
education:
bachelor’s degree in business administration, office management, or a related field.
experience:
3 to 5 years of secretarial or executive assistant experience supporting senior leaders, ideally within finance or investment sectors.
skills:
exceptional verbal and written communication.
mastery of microsoft office suite and virtual collaboration tools.
strategic thinking with organizational, prioritization, and problem-solving skills.
ability to maintain confidentiality and handle high-pressure situations.
preferred qualifications:
exposure to financial services or consulting environments.
