Key Responsibilities
Calendar & Schedule Management: Coordinate and maintain complex calendars for senior management. Schedule meetings, appointments, and room bookings, ensuring no scheduling conflicts.
Communication & Correspondence: Screen incoming calls, route inquiries to the correct departments, and manage incoming/outgoing emails, letters, and couriers. Draft professional business letters, emails, and memos on behalf of management.
Visitor & Front Desk Relations: Greet clients, vendors, and stakeholders warmly upon arrival. Maintain a highly professional reception area that represents company values.
Documentation & Filing: Create, organize, and maintain digital and physical filing systems for highly confidential company records, client files, and invoices.
Meeting Preparation: Prepare agendas, compile background documents, and take detailed, accurate minutes during internal and board-level meetings. Distribute action items promptly.
Office Inventory Control: Monitor and purchase office supplies, pantry inventory, and stationery. Manage relationships with administrative vendors to ensure timely service and cost-efficiency.
Travel Coordination: Arrange comprehensive domestic and international travel itineraries, including flights, hotel bookings, local transport, and visa documentation.
