Core Responsibilities
The duties of an Office Executive are diverse, ranging from front-desk hospitality to back-end logistics.
1. Administrative Coordination
Calendar Management: Scheduling meetings, appointments, and travel arrangements for senior staff.
Document Control: Drafting reports, preparing PowerPoint presentations, and maintaining physical and digital filing systems.
Database Management: Entering and updating company records, ensuring high data accuracy and confidentiality.
2. Office & Facility Operations
Inventory Management: Monitoring office supplies, stationery, and pantry stock; placing orders before items run out.
Vendor Management: Coordinating with service providers (cleaners, internet ISPs, maintenance) to ensure the facility is functional.
Equipment Maintenance: Ensuring printers, coffee machines, and AV systems are serviced and working correctly.
3. Communication & Hospitality
First Point of Contact: Greeting visitors and clients, managing the reception area, and answering/routing incoming calls.
Mail & Logistics: Handling incoming/outgoing mail, couriers, and deliveries.
Event Planning: Organizing internal team meetings, office parties, or client lunches, including catering and room setup.
4. Financial & HR Support
Bookkeeping: Managing petty cash, processing basic invoices, and tracking office expenses.
HR Assistance: Supporting employee onboarding (preparing desks/IDs) and maintaining attendance or leave records.
