Key Responsibilities
1. Travel Desk Management
Handle domestic travel arrangements for employees (air/rail/bus tickets).
Coordinate hotel bookings, local conveyance, and itinerary planning.
Maintain travel records, approvals, and cost tracking.
Ensure adherence to company travel policy and budget.
Coordinate with travel agents and service providers.
2. Front Office & Reception Management
Manage front desk operations professionally.
Attend and welcome visitors, guests, vendors, and clients.
Handle incoming calls, courier, and visitor log maintenance.
Maintain reception area aesthetics and discipline.
Coordinate meeting room bookings and hospitality arrangements.
3. Time Attendance Management
Maintain daily attendance records (biometric / manual / system-based).
Track late coming, early leaving, and absenteeism.
Generate periodic attendance reports for HR & management.
Coordinate with department heads for attendance clarifications.
4. Leave Accounting
Maintain employee leave records (CL, SL, PL, comp-off, etc.).
Update leave balances in HR systems or registers.
Ensure proper approvals and documentation.
Support payroll team with accurate leave data inputs.
5. Guest Management & Entertainment
Coordinate hospitality for official guests, auditors, customers, and partners.
Arrange refreshments, lunch/dinner, accommodation, and logistics.
Ensure professional conduct and adherence to company protocols.
6. Employee Engagement & Event Coordination
Plan and execute birthday celebrations and employee milestones.
Support internal events such as:
Annual Day
Training programs
Townhalls
Festivals & celebrations
Coordinate vendors, materials, and logistics for events.
7. Administrative Support & Compliance
Maintain administrative records and registers.
Support ISO / audit documentation related to admin processes.
Ensure compliance with internal policies and procedures.
Assist HR/Admin head in routine operational tasks.
