Key Responsibilities:Office Management:Maintain a well-organized and efficient office environment.Manage office supplies and inventory, placing orders as needed.Oversee office equipment and arrange for repairs or maintenance.Ensure a clean and welcoming workspace for staff and visitors.Calendar Management:Maintain and coordinate schedules for department members.Schedule appointments, meetings, and conference calls as required.Remind team members of upcoming deadlines and commitments.Documentation and Correspondence:Prepare and format documents, reports, and presentations as needed.Draft, proofread, and edit correspondence and communications.Maintain accurate and organized records, both physical and digital.Communication and Coordination:Act as a point of contact between the department and internal/external stakeholders.Relay messages, requests, and information in a timely and efficient manner.Assist in coordinating meetings, conferences, and events.Data Entry and Analysis:Accurately input and manage data, ensuring data integrity and security.Assist in the collection and analysis of data as required.Travel Arrangements:Arrange travel itineraries, accommodations, and transportation for department members.Process travel expenses and reconcile receipts.Administrative Support:Provide administrative assistance to department members as needed.Perform other duties and responsibilities as assigned by supervisor.Qualifications:High school diploma or equivalent; associate's degree or higher preferred.Proven experience as an administrative assistant or in a related role.Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).Excellent organizational and time-management skills.Strong communication and interpersonal abilities.Attention to detail and accuracy in work.Ability to handle confidential information with discretion.Self-motivated with the ability to work independently and as part of a team.
