The Tendering Executive is responsible for managing the complete tendering process-from identifying opportunities to submission and follow-ups. The role requires strong technical understanding, commercial awareness, and coordination skills to prepare competitive and compliant bids across various types of tenders (government, private, GeM, MahaTenders, EPC, etc.).
1. Tender Identification & Evaluation
Track and identify relevant tenders from portals (., GeM, e-procurement portals(MahaTenders), private tenders)
Analyze tender documents (technical, commercial, legal)
Assess eligibility criteria
2. Bid Preparation & Submission
Prepare complete tender documentation (technical + commercial)
Coordinate with teams for inputs
Ensure accuracy in BOQ, costing, and technical specifications
Submit bids within deadlines (online/offline modes)
3. Technical Expertise
Interpret drawings, specifications, and scope of work
Prepare technical compliance statements
Provide inputs for cost estimation and execution planning
4. Commercial & Costing
Prepare cost estimates and pricing strategies
Coordination for quotations
Maintain profitability while staying competitive
5. Documentation & Compliance
Ensure all required documents (EMD, BG, certifications, licenses) are complete
Maintain tender records and documentation database
Handle pre-qualification and post-bid clarifications
6. Coordination & Communication
Liaise with clients, consultants, and internal departments
Attend pre-bid meetings and site visits
Respond to client queries and clarifications
7. Post-Tender Activities
Follow up on bid status
Assist in negotiations and finalization
Support contract award and handover to execution team

Conduct market research to understand industry trends, pricing benchmarks, and demand patterns
Analyze competitor bidding patterns, win rates, and pricing strategies
Study past tender results to identify L1 trends and price sensitivity
Maintain a database of competitor rates, project values, and awarded contracts
Evaluate client behavior, tender frequency, and sector opportunities
Provide strategic inputs for bid/no-bid decisions based on market intelligence
Identify potential new business opportunities and sectors for expansion
Track material cost fluctuations and market conditions affecting pricing
& Reporting
Maintain a centralized MIS database of all tenders
Track and update tender status, submission dates, values, and outcomes
Prepare weekly MIS reports for the management review
Project value (quoted vs awarded)
Sector-wise and client-wise analysis
Develop and maintain dashboards in MS Excel ( trackers)
Monitor pipeline by preparing MIS of upcoming tenders and business opportunities
Maintain database of:
Competitor participation and L1 trends
Historical pricing and bid comparisons
Vendor quotations and cost benchmarks
Analyze MIS data to:
Identify performance gaps and improvement areas
Support decision-making for bid/no-bid strategy
Improve pricing accuracy and bid success rate
Ensure data accuracy, consistency, and timely updates in all reports
Coordinate with management for custom reports and presentations
Skills & Competencies
Strong understanding of engineering concepts (Civil / Mechanical)
Knowledge of tendering procedures and government norms
Expertise in BOQ preparation and cost estimation
Familiarity with e-tendering portals (GeM, CPPP, state portals)
Proficiency in MS Excel, Word, and documentation tools
Analytical thinking and attention to detail
Time management and ability to meet strict deadlines
Strong communication and negotiation skills
Educational Qualification
Bachelor’s Degree in Engineering (./ - Civil / Mechanical)
Experience
2-8+ years of experience in tendering, bidding, or estimation
Exposure to government and private sector tenders
Experience handling multiple tenders simultaneously
Successfully secured high-value contracts through competitive bidding
