Senior Export Dispatch Executive - Baddi Solan

The Senior Executive - Export Dispatch is responsible for executing day-to-day export dispatch activities, ensuring finished goods are dispatched accurately, on time, and in compliance with customer and regulatory requirements. The role involves close coordination with Production, QA, Warehouse, Planning, Freight Forwarders, and Transporters to ensure smooth container loading and shipment execution.

Key Responsibilities

1. Dispatch Execution

- Execute daily export dispatch plans as per shipment schedule.

- Coordinate with Warehouse for timely availability of finished goods.

- Ensure dispatches are completed as per CRD and vessel timelines.

- Monitor dispatch progress and update stakeholders.

2. Container Loading

- Supervise container loading activities.

- Verify container condition and cleanliness before loading.

- Ensure correct pallet pattern, floor loading, slip sheets, dunnage, and cargo securing.

- Record container number, seal number, loading time, and dispatch details.

3. Documentation Support

- Prepare and verify dispatch documents.

- Coordinate with the Export Documentation team for Packing Lists, Commercial Invoices, Shipping Marks, COA, and other export documents.

- Ensure dispatch records are complete and accurate.

4. Warehouse Coordination

- Verify product quantity, batch numbers, labels, pallet tags, and export markings.

- Ensure FIFO/FEFO compliance.

- Support stock reconciliation after dispatch.

- Coordinate barcode scanning and shipment verification.

5. Transport & CHA Coordination

- Coordinate vehicle placement and container movement.

- Liaise with transporters, freight forwarders, and Customs House Agents (CHA).

- Ensure timely gate-out and port movement.

6. Compliance & Quality

- Follow export SOPs, GMP, and food safety requirements.

- Ensure no damaged or incorrect material is dispatched.

- Maintain dispatch records for audit and traceability.

7. Reporting

- Update daily dispatch reports.

- Report shipment delays or shortages immediately.

- Maintain dispatch logs, loading records, and container history.

Candidate Profile

Education

- Graduate in Logistics, Supply Chain, Commerce, Engineering, or a related discipline.

Experience

- 3-6 years of experience in Export Dispatch, Warehouse, Logistics, or Supply Chain.

- Experience in food manufacturing or FMCG exports is preferred.
