Job Title: Receptionist

Job Summary:

We are seeking a friendly and professional Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive impression for our clients, visitors, and employees. The ideal candidate is organized, personable, and able to handle multiple tasks simultaneously while maintaining a high level of professionalism.

Responsibilities:

Greet and welcome visitors, clients, and employees in a warm and friendly manner.

Answer phone calls, take messages, and redirect calls as necessary.

Provide information and assistance to visitors and callers, ensuring their queries are addressed promptly and accurately.

Manage the reception area, ensuring it is tidy, presentable, and equipped with necessary supplies.

Maintain security by following procedures and controlling access through the reception desk.

Schedule appointments and meetings, and maintain calendars for executives and meeting rooms.

Receive and distribute mail, packages, and deliveries.

Perform basic administrative tasks such as data entry, filing, and photocopying.

Assist with organizing company events and meetings, including booking venues, coordinating catering, and preparing materials.

Collaborate with other departments to ensure efficient communication and workflow within the organization.

Handle general inquiries and provide basic information about the company's products or services.

Maintain confidentiality and handle sensitive information with discretion.

Qualifications:

High school diploma or equivalent; additional certification or training in office administration is a plus.

Proven experience as a receptionist or in a similar role.

Excellent verbal and written communication skills.

Friendly, professional demeanor with the ability to provide outstanding customer service.

Strong organizational and multitasking skills.

Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
