Job Description

Greeting Visitors: Warmly welcome and greet all visitors, clients, and candidates in a professional and courteous manner. Direct them to the appropriate person or department.

Managing Phone Calls: Answer incoming phone calls promptly and professionally, screen calls, take accurate messages, and direct calls to the appropriate personnel.

Handling Mail and Deliveries: Receive, sort, and distribute incoming mail, courier deliveries, and faxes. Prepare outgoing mail and packages for dispatch.

Maintaining Reception Area: Ensure the reception area is clean, tidy, and presentable at all times.

Scheduling and Appointments: Assist with scheduling appointments, meetings, and conference room bookings. Maintain and update relevant calendars.

Data Entry and Record Keeping: Perform basic data entry tasks and maintain accurate visitor logs and other relevant records.

Providing Information: Answer general inquiries from visitors and callers about the company, its products/services, and directions.

Office Supplies Management: Monitor and maintain inventory of front office supplies (., stationery, forms) and inform the Office Manager when supplies need to be replenished.

Basic Administrative Support: Provide basic administrative support such as photocopying, scanning, and filing documents.

Liaising with Internal Departments: Communicate effectively with various internal departments to relay messages and facilitate smooth workflow.

Handling Security Procedures: Follow established security procedures for visitor access and maintain visitor badges.

Assisting with Arrangements: Assist with making basic arrangements for meetings, including refreshments if required.

Managing Courier Services: Coordinate with courier services for pickups and deliveries.

Any other front office duties as assigned by the Office Manager or Supervisor.
