managing phone calls: answer incoming phone calls promptly and professionally, screen calls, take accurate messages, and direct calls to the appropriate personnel.
handling mail and deliveries: receive, sort, and distribute incoming mail, courier deliveries, and faxes. prepare outgoing mail and packages for dispatch.
maintaining reception area: ensure the reception area is clean, tidy, and presentable at all times.
scheduling and appointments: assist with scheduling appointments, meetings, and conference room bookings. maintain and update relevant calendars.
data entry and record keeping: perform basic data entry tasks and maintain accurate visitor logs and other relevant records.
providing information: answer general inquiries from visitors and callers about the company, its products/services, and directions.
office supplies management: monitor and maintain inventory of front office supplies (., stationery, forms) and inform the office manager when supplies need to be replenished.
basic administrative support: provide basic administrative support such as photocopying, scanning, and filing documents.
liaising with internal departments: communicate effectively with various internal departments to relay messages and facilitate smooth workflow.
handling security procedures: follow established security procedures for visitor access and maintain visitor badges.
assisting with arrangements: assist with making basic arrangements for meetings, including refreshments if required.
managing courier services: coordinate with courier services for pickups and deliveries.
