Job Description

Key Responsibilities:

Procurement:

Assist in the procurement process, including obtaining quotes, negotiating prices, and issuing purchase orders.

Collaborate with vendors and suppliers to ensure timely delivery of goods and services.

Research and identify potential suppliers, evaluating their products, and negotiating terms.

Inventory Management:

Maintain accurate records of stock levels, incoming shipments, and stock movements.

Conduct regular stock audits and reconcile discrepancies.

Monitor inventory levels to prevent stockouts and overstock situations.

Order Processing:

Process purchase orders, ensuring accuracy in product specifications, quantities, and delivery details.

Coordinate with various departments to confirm their procurement needs and timelines.

Receiving and Inspection:

Receive and inspect incoming goods for quality, quantity, and compliance with purchase orders.

Report and address any discrepancies or damaged items.

Vendor Relationship:

Build and maintain positive relationships with suppliers and vendors.

Communicate effectively to resolve issues, negotiate terms, and ensure vendor compliance.

Documentation:

Maintain organized and up-to-date records of purchase orders, invoices, and other relevant documents.

Prepare reports on purchasing activities and inventory levels.

Cost Management:

Assist in cost analysis and identify opportunities for cost savings.

Track and report on budget variances related to procurement and inventory.

Compliance:

Ensure adherence to company procurement policies, procedures, and ethical standards.

Stay informed about relevant regulations and industry best practices.

Coordination with Other Departments:

Collaborate with various departments to understand their procurement needs and specifications.

Coordinate with the finance department for timely payment processing.

Qualifications and Skills:

High school diploma or equivalent; additional education or certification in procurement is a plus.
