Skills Required:-
• Hands-on experience with HRMS (preferably Spine).
• Good knowledge of facility & vendor management.
• Excellent coordination, communication, and documentation skills.
• Proficiency in MS Excel, Word, and reporting formats.
• Ability to manage multiple administrative functions independently.
Key Responsibilities:-
1. Spine Software Management
• Check attendance, leave, and overtime entries daily.
• Update onboarding data and verify manpower attendance in Spine.
• Perform accuracy checks and coordinate with the Spine representative for issue resolution.
• Conduct quarterly audits with HR team and ensure annual renewal/upgradation of the Spine license.
2. Labour Management
• Monitor worker attendance and allocation.
• Prepare monthly labour summary reports.
• Resolve grievances and coordinate with contractors.
• Conduct annual contractor performance & compliance evaluation
3. Security Management
• Monitor daily duty rosters and attendance of security staff.
• Handle incidents or complaints related to security.
• Conduct annual vendor review and contract renewal.
4. Vehicle Management & Tracking
• Monitor daily vehicle movement logs and driver attendance.
• Verify vehicle maintenance and fuel expenses.
• Arrange breakdown or accident assistance when required.
• Conduct quarterly vehicle condition audits and manage annual insurance renewal & fitness certificates.
5. AC AMC & Infrastructure Management
• Monitor AC functioning in office and factory.
• Review AMC vendor reports, bills, and performance.
• Raise complaints for repairs or breakdowns and renew AMC contracts annually.
• Inspect furniture and infrastructure condition and prepare monthly maintenance reports.
• Evaluate vendors for cost-effectiveness and prepare annual repair budgets.
6. Land & Property Records
• Compile land-related data and reports.
• Coordinate with legal/admin teams for land documentation.
• Prepare annual land/property status reports.
7. New Structure & Quotation Management
• Collect quotations from vendors for infrastructure requirements.
• Prepare comparative statements for approvals.
• Conduct yearly cost analysis for infra needs.
8. Health & Safety
• Conduct regular factory rounds and ensure first aid boxes are stocked.
• Investigate accidents and update accident reports with analysis.
• Maintain and update data for Group Insurance policies.
