- Managing and coordinating schedules: Coordinate and manage the executive's calendar, appointments, and meetings to ensure efficient use of their time.
- Arranging travel and accommodations: Make travel arrangements including flights, hotel bookings, and transportation for the executive.
- Screening and prioritizing communication: Screen, prioritize, and manage all incoming emails, calls, and messages for the executive.
- Handling administrative tasks: Assist with administrative tasks such as preparing reports, drafting correspondence, and maintaining filing systems.
- Supporting in meetings and events: Assist in preparing materials, taking minutes, and coordinating logistics for meetings, conferences, and events.
- Liaising with internal and external stakeholders: Act as a point of contact between the executive and internal/external stakeholders, clients, and partners.
Required Skills and Expectations:
- Proven experience as an executive assistant or similar role, with at least 3-7 years of experience.
- Excellent organizational and time-management skills to handle multiple tasks and priorities efficiently.
- Strong communication skills (verbal and written) to interact effectively with various stakeholders.
- Proficient in MS Office suite (Word, Excel, PowerPoint) and other office software.
- Ability to maintain confidentiality and discretion in handling sensitive information.
- Detail-oriented with a high level of accuracy in tasks and deliverables.
