Coordinate executive communications, including taking calls, responding to emails and interfacing with clients Prepare internal and external corporate documents for team members and industry partners Schedule meetings and appointments and manage travel itineraries Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events Maintain an organized filing system of paper and electronic documents Uphold a strict level of confidentiality Develop and sustain a level of professionalism among staff and clientele Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives behalf Maintaining comprehensive and accurate records Performing minor accounting duties Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary Answering phone calls in a polite and professional manner Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department Managing the executives calendar, including making appointments and prioritizing the most sensitive matters Manage scheduling for company executive(s) Draft, review and send communications on behalf of company executive(s) Organize and prepare for meetings, including gathering documents and attending to logistics of meetings Answer and respond to phone calls, communicate messages and information to the executive Prioritize emails and respond when necessary Coordinate travel arrangements Maintain various records and documents for company executive(s)
