Key Responsibilities1. Society OperationsSupervise the day-to-day operations and common areas of the society.Ensure proper functioning and maintenance of lifts, DG sets, pumps, electrical systems, water supply, STP, fire-fighting systems, lighting, CCTV, access control, and other facilities.Conduct regular inspections and identify maintenance issues proactively.Maintain a proper record of complaints, breakdowns, repairs, and preventive maintenance.2. Housekeeping & CleanlinessMonitor housekeeping staff and ensure cleanliness of lobbies, staircases, corridors, parking areas, gardens, community areas, and other common spaces.Ensure proper garbage collection and disposal.Monitor hygiene and sanitation standards across the premises.3. Security ManagementSupervise the security agency and security personnel.Ensure proper deployment, attendance, grooming, and discipline of security guards.Monitor visitor management, vehicle movement, access control, emergency response, and security protocols.Coordinate with the security agency in case of incidents or emergencies.4. Vendor & Contractor ManagementCoordinate with maintenance agencies, security agencies, housekeeping contractors, lift companies, pest control agencies, gardeners, plumbers, electricians, and other vendors.Ensure vendors deliver services as per agreed scope, quality, and timelines.Verify work completion and maintain records of service reports and warranties.Escalate poor performance or repeated service issues to the Managing Committee.5. Complaint ManagementReceive and monitor resident complaints through the designated communication system.Ensure complaints are assigned to the concerned person/vendor and resolved within a reasonable timeframe.Maintain a complaint tracker with status and closure details.Provide regular updates to the Managing Committee on pending and recurring issues.6. Preventive MaintenancePrepare and maintain preventive maintenance schedules for all major equipment and facilities.Ensure timely servicing and inspections of lifts, fire systems, DG, pumps, electrical systems, STP, water systems, CCTV, and other essential infrastructure.Maintain AMC and service contract records.7. Staff ManagementSupervise society staff and ensure proper attendance, discipline, and work allocation.Prepare duty rosters where required.Identify training requirements and ensure staff follow safety and operational procedures.8. Documentation & ReportingMaintain records of maintenance activities, vendor visits, equipment servicing, complaints, incidents, inventories, and statutory inspections.Submit regular operational reports to the Managing Committee.Maintain a list of critical equipment, warranties, AMCs, and emergency contact numbers.9. Emergency & Safety ManagementAct as the primary on-site coordinator during emergencies such as fire, lift entrapment, major water leakage, electrical failure, security incidents, or other critical situations.Ensure emergency equipment and systems are regularly checked and operational.Coordinate with emergency services and relevant agencies whenever required.10. Budget & Procurement SupportAssist the Managing Committee in preparing maintenance budgets.Obtain quotations from approved vendors when required.Monitor consumption of maintenance materials and maintain inventory.Ensure purchases and expenses are made as per the society's approved procedures.Required Skills & QualificationsGraduate or equivalent qualification preferred.3
