JOB PURPOSEThe Senior Administrative & Guest Relationship Manager will be responsible for managing the daily administrative operations, guest relations, reservations, staff coordination, financial records, and overall operational efficiency of Samarth Homestay.The primary objective of this position is to ensure excellent guest satisfaction, smooth property operations, effective staff management, and professional administrative support while maintaining the hospitality standards established by Samarth Homestay.2. KEY RESPONSIBILITIESA. Guest Relationship ManagementWelcome guests and ensure a professional and friendly check-in and check-out experience.Handle guest inquiries through telephone, WhatsApp, email, website, and online booking platforms.Manage guest reservations, booking confirmations, cancellations, and modifications.Maintain accurate guest registration records and identification documents as required by applicable regulations.Address guest complaints and concerns promptly and professionally.Collect guest feedback and ensure continuous improvement in guest satisfaction.Maintain positive relationships with existing guests and encourage repeat bookings.Coordinate special guest requirements and arrangements.B. Administrative & Office ManagementManage daily administrative activities and office operations.Maintain proper documentation, filing systems, and official records.Handle incoming and outgoing correspondence.Maintain office stationery, supplies, and inventory records.Coordinate with management regarding daily activities and operational requirements.Prepare daily, weekly, and monthly administrative reports.Ensure confidentiality of company and guest information.Maintain professional communication with vendors, service providers, and other stakeholders.C. Staff Management & SupervisionSupervise housekeeping, cleaning, maintenance, and support staff.Prepare staff duty rosters, attendance records, and weekly schedules.Monitor staff performance, discipline, and punctuality.Ensure rooms and common areas are maintained according to established cleanliness standards.Coordinate staff responsibilities based on guest occupancy and operational requirements.Report staffing issues and operational concerns to management.Support the recruitment, training, and development of staff when required.D. Booking & Reservation ManagementManage reservations received through online booking platforms, telephone, WhatsApp, and direct inquiries.Maintain accurate booking calendars and room availability records.Coordinate guest arrivals, departures, and room allocations.Ensure timely communication of booking confirmations and payment details.Maintain booking records and prepare occupancy reports.Support promotional activities and initiatives to improve occupancy and revenue.E. Property Maintenance & Inventory ControlMonitor the cleanliness and maintenance of guest rooms, offices, and common areas.Coordinate routine maintenance and repair activities.Maintain records of furniture, equipment, linen, cleaning materials, and other property assets.Monitor stock levels and coordinate necessary purchases.Ensure proper utilization of company resources.Immediately report major maintenance issues or property damage to management.3. REQUIRED QUALIFICATIONS & EXPERIENCEEducational Qualification:Graduate in any discipline.Preference will be given to candidates with qualifications in Business Administration, Hospitality Management, Commerce, or related fields.4. WORKING CONDITIONS & BENEFITSSalary: Attractive salary based on qualifications, experience, and interview performance.Employment Type: Full-time.Working Days: Sunday to Friday, subject to operational requirements.Weekly Off: One day per week.
