### Warehouse Executive - Job Responsibilities
The Warehouse Executive will be responsible for the efficient management and day-to-day operations of the company's construction warehouse, ensuring the proper receipt, storage, control, and distribution of construction materials, tools, equipment, and consumable items.
Key Responsibilities:
1. Material Receiving: Receive construction materials, tools, equipment, spare parts, and other supplies delivered to the warehouse. Verify quantities, specifications, quality, and condition against purchase orders, delivery notes, and invoices.
2. Material Inspection: Coordinate with the relevant project, procurement, and technical teams to identify damaged, incorrect, or defective materials and report discrepancies promptly.
3. Storage & Organization: Ensure all materials are properly labelled, categorized, stacked, and stored in designated locations for easy identification and retrieval.
4. Inventory Management: Maintain accurate records of stock levels, material movements, receipts, issues, transfers, and returns using inventory systems, spreadsheets, or warehouse documentation.
5. Material Issuance: Issue construction materials, tools, PPE, equipment, and consumables to authorized employees and project sites based on approved material requests.
6. Site Coordination: Coordinate with construction sites, project managers, engineers, supervisors, procurement teams, and subcontractors to ensure materials are available according to project requirements and schedules.
7. Stock Monitoring: Regularly monitor inventory levels and identify materials approaching minimum stock levels. Inform the procurement team in advance to prevent shortages or project delays.
8. Stock Verification: Conduct periodic physical stock counts and reconcile actual quantities with system and documentation records. Investigate and report any shortages, excesses, or discrepancies.
9. Documentation: Prepare and maintain Goods Received Notes (GRNs), Material Issue Notes, Material Return Notes, Stock Transfer Records, Delivery Notes, inventory reports, and other warehouse-related documents.
10. Tools & Equipment Control: Maintain proper records of construction tools, machinery accessories, electrical equipment, and other assets issued to workers or project teams, including their return and condition.
11. Material Returns: Receive unused or surplus materials returned from construction sites, inspect their condition, update inventory records, and arrange appropriate storage.
12. Warehouse Safety: Ensure safe handling, stacking, lifting, and storage of materials and comply with company safety procedures and applicable workplace safety requirements.
13. Housekeeping: Maintain cleanliness, orderliness, and proper access within the warehouse, ensuring materials are stored safely and emergency pathways remain clear.
14. Material Preservation: Take appropriate measures to protect materials from damage, moisture, contamination, deterioration, theft, or unauthorized access.
15. Coordination with Procurement: Work closely with the procurement and purchasing departments regarding material deliveries, pending orders, shortages, damaged goods, and replenishment requirements.
16. Delivery & Dispatch: Coordinate the preparation, loading, and dispatch of materials to construction sites and ensure that required documentation accompanies each shipment.
17. Record Keeping: Maintain up-to-date warehouse registers, inventory databases, stock ledgers, delivery records, and supporting documentation for audit and management purposes.
18. Cost & Loss Control: Assist in minimizing material wastage, loss, damage, unauthorized usage, and unnecessary inventory accumulation.
19. Reporting: Prepare regular stock and warehouse activity reports for management, including inventory status, material movements, shortages, damaged items, and outstanding requirements.
20. Compliance: Follow company policies, warehouse procedures, construction-site requirements, and applicable health, safety, environmental, and quality standards.
21. Team Coordination: Coordinate with warehouse assistants, drivers, material handlers, site personnel, and other relevant staff to ensure smooth and timely warehouse operations.
22. Other Duties: Perform other warehouse, logistics, inventory, and material-control duties reasonably assigned by the Warehouse Manager, Project Manager, or Company Management.
