Responsibilities

Manage Director’s electronic diary, assessing priority of appointments and reallocation as necessary

Manage Director’s travel arrangements (including visas/accommodation).

Maintain records of Director’s contacts.

Processing and drafting Director’s correspondence, ensuring that incoming correspondence is dealt with by the Director/or on
behalf of the Director.

Screen calls, enquiries and requests, and deal with them when appropriate

E
engage with teams to understand issues, challenges, update to project plans and then organise meetings to resolve them

P
reactively engage with a set of clients and try to set meetings etc

Ensure
that urgent enquiries and emerging issues are brought to the Director’s attention

Assist Director in researching and following up with action on matters which fall within the Director’s responsibility
chasing
responses, triggering follow up action.

Produce documents, briefing papers, reports, and presentations for the Director.

Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre
meeting briefings
and meeting papers

Assist in the preparation of agendas and capture salient points, decisions, action items and status in meetings such as Clien
t
meetings, Project Meetings

Support the MD to manage information exchange and ensure effective communication occurs across key stakeholder groups

Perform tasks that will free up the MD’s time

Meet and greet visitors at all levels of seniority.

Other duties, consistent with skills and experience, as directed by the MD
