key responsibilities
1. sales and customer relations (front-end)
sales support: actively support the sales team in achieving targets by following up on leads, preparing quotations, and handling basic customer inquiries.
customer communication: serve as a primary contact for clients regarding order status, product availability, and general information.
documentation preparation: prepare and organize all necessary sales-related documents, including pro forma invoices, sales contracts, and client proposals.
2. back office operations and administration (back-end)
order processing: accurately process customer orders, enter data into the crm or erp system, and coordinate with the warehouse or production team to ensure timely dispatch.
documentation and filing: maintain a systematic and organized electronic and physical filing system for all sales records, customer data, and contracts.
invoicing and billing: assist the finance department by preparing final invoices, tracking payments, and following up on outstanding bills.
inventory coordination: monitor stock levels of fast-moving items and coordinate with the procurement team to ensure adequate inventory to meet sales demand.
reporting: generate daily, weekly, and monthly sales reports, including summaries of targets achieved, outstanding orders, and customer feedback.
