key responsibilities

visitor and communication management

guest greeting: professionally greet, welcome, direct, and announce guests, clients, and visitors as they arrive at the office.

telephone handling: answer, screen, and forward incoming phone calls in a professional manner, taking accurate messages when necessary.

mail and deliveries: receive and sort daily mail, deliveries, and courier packages. coordinate outgoing mail and express shipments.

security: maintain office security by following procedures and controlling access (monitoring logbook, issuing visitor badges).

administrative and office support

scheduling: maintain and manage the main appointment calendar, scheduling meetings, and booking conference rooms.

tidiness: ensure the reception area, lobby, and common meeting areas are tidy, presentable, and well-stocked with necessary materials (., pens, forms, brochures).

supply management: monitor and order office and kitchen supplies, ensuring adequate stock levels and managing vendor relationships for supply delivery.

data entry: perform basic clerical duties such as filing, photocopying, transcribing, and faxing.

executive support (if applicable)

provide light administrative support to management or executive teams, such as managing travel bookings or organizing internal events.
