the assistant to hod is tasked with ensuring the hod's schedule is managed efficiently, and that the departmental workflow runs smoothly.
1. administrative and secretarial support
calendar and schedule management: proactively manage the hod's complex calendar, scheduling internal and external meetings, appointments, and deadlines.
correspondence: screen and manage incoming calls, emails, and correspondence. draft, proofread, and prepare professional correspondence, reports, presentations, and other documents on behalf of the hod.
travel coordination: handle comprehensive travel arrangements, including booking flights, accommodation, and ground transportation, and preparing detailed itineraries and expense reports.
2. operational and departmental coordination
information hub: act as the primary point of contact and liaison between the hod and internal staff, other departments, and external stakeholders (clients, vendors, etc.).
meeting management: organize and coordinate departmental meetings, prepare agendas, distribute necessary materials in advance, take accurate minutes, and follow up on assigned action items to ensure timely completion.
office procedures: implement and maintain efficient administrative and filing systems (both physical and digital) to ensure all confidential departmental documents and records are organized and easily accessible.
3. financial and project assistance
budget support: assist the hod with tracking departmental expenditures, processing invoices, managing purchase requests, and monitoring the operating budget.
report generation: compile data from various sources to prepare detailed performance, operational, or financial reports as requested by the hod or senior management.
project support: provide administrative support for key departmental projects, ensuring documentation is organized and deadlines are communicated.
