Job Description

🔑 core responsibilities

the primary responsibility of a gem coordinator is to be the single point of contact (spoc) for all activities on the gem portal, ensuring compliance with government rules and optimizing transactions.

1. gem portal management & operations

vendor/buyer registration: handling the end-to-end process of registering the organization on the gem portal.

catalogue management (for sellers): creating, uploading, and meticulously maintaining the product/service catalogue, including updating specifications, pricing, and deleting obsolete items.

demand/tender creation (for buyers): drafting and publishing bids, custom bids, and reverse auctions on the portal in compliance with general financial rules (gfr).

compliance: ensuring all transactions, listings, and bid submissions adhere to gem terms and conditions and regulatory standards.

2. bid & tender coordination

bid analysis: thoroughly studying the qualification criteria and technical parameters (tps) of tenders to assess the organization's eligibility.

document preparation: compiling, preparing, and uploading all necessary technical and commercial documents, including boqs (bill of quantities) and price bids.

submission & tracking: timely submission of bids and continuously tracking the status of live tenders from floating to the award stage.

post-bid formalities: handling post-bid discussions, preparing minutes of meeting (mom), submitting order acceptance, and arranging required security deposits like performance bank guarantees (pbg).

3. stakeholder communication & reporting

liaison: acting as the main point of contact for internal teams (finance, technical, logistics) and external stakeholders (government officials, clients, oems).

query resolution: handling and solving gem queries from buyers/clients related to the products, specifications, or bid process.
