key responsibilities and duties
the duties are typically split between managing the outbound flow (export) and the inbound flow (import).
i. documentation and compliance (the core function)
documentation management: prepare, review, and ensure the accuracy of all necessary import and export documents, including:
commercial invoices and packing lists.
bills of lading (b/l) or airway bills (awb).
certificates of origin (coo) and inspection certificates.
shipping bills and import bills of entry.
regulatory compliance:
ensure strict adherence to national and international trade regulations, customs laws, incoterms, and specific country requirements.
manage and file all necessary regulatory paperwork for customs clearance to prevent delays and penalties.
tariff classification: accurately classify goods using the harmonized system (hs) or hsn codes to determine applicable duties, taxes, and tariffs.
ii. logistics and supply chain management
shipping coordination:
coordinate with freight forwarders, customs brokers, shipping lines, and carriers to arrange optimal transportation (air, sea, road, rail) based on cost, delivery time, and security.
track and monitor all shipments from dispatch to final delivery, providing status updates to internal teams and customers.
cost optimization:
negotiate freight rates, warehousing, and customs clearance charges with logistics partners to ensure cost-effective operations.
analyze shipping data to identify and implement cost-saving opportunities and process improvements.
inventory liaison: coordinate with warehouse and inventory teams to ensure materials and finished goods are ready for timely import/export and proper receipt upon arrival.
iii. stakeholder and communication management
internal liaison: work closely with the sales, finance, legal, and production teams to align on shipping schedules, payment terms, and regulatory requirements.
external communication: communicate with international suppliers (for imports) and international customers (for exports) to finalize orders, resolve shipment issues, and provide excellent service.
issue resolution: proactively identify and resolve any issues related to customs holds, shipment delays, missing documentation, or disputes with logistics providers.
