Key Responsibilities
1. Facility & Infrastructure Management
Office Upkeep: Ensuring that electricity, water, internet, and air conditioning systems are functioning 24/7.
Repairs & Maintenance: Scheduling periodic maintenance for office equipment, machinery, or the building structure.
Safety & Security: Supervising security personnel and ensuring fire safety protocols (extinguishers, drills) are up to date.
2. Vendor & Procurement Management
Supplies: Managing the inventory of stationery, pantry items, and cleaning supplies.
Negotiation: Finding and onboarding vendors for office services and negotiating contracts to get the best prices.
Asset Management: Tracking company assets (laptops, furniture, vehicles) and maintaining an asset register.
3. Documentation & Office Support
Records Management: Maintaining physical and digital files for contracts, legal documents, and office expenses.
Travel & Logistics: Handling hotel bookings, flight tickets, and local transport for management or visiting clients.
Event Coordination: Organizing office meetings, training sessions, or staff events.
🛠️ Required Skills
Multitasking: The ability to handle a plumbing issue, a courier delivery, and an executive meeting request all at the same time.
Communication: Clear and professional verbal and written communication (Email, Memos).
Software Proficiency: Strong skills in MS Office (especially Excel for expense tracking and Word for letters).
Problem-Solving: A troubleshooting mindset to fix operational hiccups quickly.
