Job Summary:
The Telecaller cum Receptionist will be the first point of contact for our organization, responsible for warmly greeting visitors, efficiently managing incoming and outgoing phone calls, and performing telecalling duties to support business objectives. This role requires exceptional communication, organizational skills, a professional demeanor, and the ability to seamlessly handle both front-office administration and active telephonic engagement.
Responsibilities:
Front Office Management:
Warmly greet all visitors, clients, or patients in a professional and courteous manner.
Ascertain the purpose of their visit and direct them to the appropriate person or department.
Maintain a tidy, organized, and presentable reception and waiting area, ensuring it reflects a positive image of the company.
Manage visitor logbooks, appointment registers, and other relevant front office records.
Receive, sort, and distribute incoming mail, courier deliveries, and packages.
Telecalling & Communication:
Efficiently answer, screen, and direct incoming phone calls. Take accurate messages and ensure they are delivered promptly.
Make outbound calls to potential and existing customers/clients to promote our [products/services], generate leads, or schedule appointments as per campaign requirements.
Clearly and effectively communicate the features, benefits, and value proposition of our offerings over the phone.
Handle customer inquiries, objections, and feedback professionally and persuasively.
Accurately record call outcomes, customer information, and relevant data in the CRM system or other designated platforms.
Aim to achieve daily, weekly, and monthly targets for calls made, leads generated, or appointments scheduled.
Administrative Support:
Provide general administrative and clerical support, including photocopying, scanning documents, filing, and managing office supplies for the reception area.
Assist with scheduling appointments and managing booking calendars as required.
Maintain accurate and up-to-date customer and contact databases.
General & Compliance:
Adhere to all company policies, ethical guidelines, and security protocols for visitor access.
Collaborate effectively with other team members and departments.
Understand and follow instructions from supervisors.
