Ø greet and welcome guests as soon as they arrive at the office
Ø direct visitors to the appropriate person and office
Ø answer, screen and forward incoming phone calls
Ø ensure reception area is tidy and presentable, with all necessary stationery and material (., pens, forms and brochures. observing professional etiquette.
Ø provide basic and accurate information in-person and via phone/email
Ø receive, sort and distribute daily mail/deliveries
Ø maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Ø order front office supplies and keep inventory of stock/handle petty cash
Ø update calendars and schedule meetings
Ø arrange travel and accommodations, and prepare vouchers
Ø keep updated records of office expenses and costs
Ø perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Ø handling basic inquiries and sorting mail. copying, scanning, and filing documents.
