key roles and responsibilities

1. inventory management and control

maintain accurate inventory records of all supplies, materials, and equipment using inventory management software (ims) or erp systems.

conduct regular physical stock checks and cycle counts to reconcile discrepancies between physical stock and system records.

monitor stock levels and initiate purchase requisitions to ensure timely replenishment and prevent stockouts or overstocking.

implement and enforce inventory control procedures, such as fifo (first-in, first-out), to manage stock rotation and minimize waste, deterioration, or expiration.

2. goods receiving and inspection

receive, inspect, and verify all incoming shipments against purchase orders and delivery notes for accuracy in quantity, quality, and specifications.

report any damages, discrepancies, or quality issues on received goods to the appropriate departments (., procurement, accounting).

unpack, label, and safely store incoming materials in designated locations.

3. storage, organization, and maintenance

organize and arrange the store/warehouse space efficiently to optimize storage utilization and ensure easy access to inventory.

ensure the secure custody and preservation of all stored items, including those requiring special handling (., hazardous materials, temperature-sensitive goods).

maintain a clean, tidy, and safe working environment, adhering to all health and safety regulations and compliance standards.

4. issuance and dispatch

process and fulfill authorized material requisition forms by picking, packing, and preparing items for issuance or shipment.

issue materials only in the required quantities to internal departments or prepare orders for external dispatch/delivery.

coordinate with logistics and delivery personnel to ensure the timely and accurate dispatch of goods.

5. documentation and reporting

maintain detailed and up-to-date records of all stock movements, transactions, and inventory adjustments.

prepare regular reports on stock levels, inventory turnover rates, and consumption patterns for management review.

assist in inventory audits and provide all necessary documentation as required.
