job summary
we are seeking a highly organized, proactive, and resourceful executive assistant (ea) with strong business acumen to support senior leadership in a fast-paced architecture and interior design firm. this role is ideal for someone who can seamlessly manage executive schedules while contributing to business strategy, project coordination and data-driven decision-making. the ideal candidate will act as a strategic partner, ensuring the executive��s time is optimized and business priorities are advanced.
key responsibilities administrative & executive support
�� manage complex calendars, travel arrangements, meeting coordination, and communications.
�� prepare presentations, reports, meeting agendas and minutes.
�� act as the point of contact between the executive and internal/external stakeholders, coordinate internal and external meetings, reviews and client site visits. strategic & business support
�� analyse business data and assist in preparing dashboards, financial summaries, client profitability analyses and performance reports.
�� coordinate strategic initiatives, track progress on key projects and provide insights.
�� participate in business reviews, planning meetings and contribute to discussions with a strategic lens.
�� support fee proposals, project budgeting, resource planning and resource utilisation in collaboration with project managers.
�� conduct market research, competitor analysis and benchmarking to inform business decisions. project management
�� assist in planning, executing and monitoring business and operational projects.
�� follow up on action items with relevant teams, ensuring deadlines and deliverables are met.
�� track progress of key design projects and deliverables across teams.
�� follow up on timelines, action items and dependencies across architectural, design, and vendor teams.
�� liaise with consultants, contractors and client representatives for project coordination. communication & stakeholder management
�� draft high-quality communication including emails, briefs, reports, business correspondence, meeting summaries, and proposals and internal memos.
�� maintain strong relationships with key stakeholders, clients, and partners.
�� act as a communication bridge between leadership, clients, and internal teams. confidentiality & judgment
