Job Description

Job Summary:

We are seeking a diligent and meticulous Tender Executive to join our team in Dharashiv. The Tender Executive will be responsible for identifying, analyzing, preparing, and submitting tenders (bids) for various government and private projects. This role requires strong organizational skills, attention to detail, a good understanding of tender processes, and the ability to work under strict deadlines.

Key Responsibilities:

Tender Identification & Research:

Proactively search for relevant tender opportunities from various sources, including government e-procurement portals (., GeM, Maha-Tenders, CPWD, Railways), company websites, newspapers, and industry publications.

Analyze Request for Proposals (RFPs), Expression of Interests (EOIs), and tender documents to understand scope, eligibility criteria, technical specifications, and commercial terms.

Documentation & Preparation:

Prepare and compile all necessary technical and commercial documents for tender submissions, including technical specifications, financial bids, company profiles, experience certificates, legal documents, and required declarations.

Ensure all documents comply with the tender requirements, are accurately filled, and are submitted in the correct format.

Coordinate with various internal departments (., Technical, Finance, Legal, Project Management) to gather required information and approvals.

Assist in the preparation of pre-qualification documents (PQ documents).

Submission Management:

Manage the end-to-end tender submission process, primarily focusing on online e-tendering portals.

Ensure timely and accurate uploading of bids and supporting documents before deadlines.

Address any technical issues related to online tender submission.

Maintain records of all submitted tenders and their statuses.

Coordination & Follow-up:

Attend pre-bid meetings (online or in-person) to clarify doubts and gather additional information.

Communicate with tendering authorities or clients regarding any clarifications or amendments.

Track the status of submitted tenders and follow up on bid outcomes.

Database Management & Reporting:

Maintain a comprehensive database of all tender opportunities, submissions, outcomes, and competitor information.

Prepare regular reports on tender activity, success rates, and market trends for management review.

Compliance & Archiving:

Ensure strict adherence to company policies and tender guidelines.

Maintain proper archiving of all tender-related documents for future reference and audit.
