Job Description

- Manage and organize hotel documentation, records, and files (both digital and physical).

- Prepare reports, presentations, and correspondence as required by management.

- Enter, update, and maintain guest and booking information in the hotel management system.

- Ensure data accuracy across reservations, billing, and internal records.

- Monitor stock levels of office and operational supplies and coordinate procurement.

- Liaise with vendors and suppliers to ensure timely delivery of goods and services.

- Support the accounts department with invoice processing, billing summaries, and expense tracking.

- Maintain records of payments and vendor transactions.

- Assist with maintaining staff attendance records, leave management, and payroll data.

- Support the HR team in handling employee documentation and onboarding processes.

- Coordinate between front office, housekeeping, maintenance, and management for seamless operations.

- Distribute internal memos, schedules, and updates to relevant departments.

- Ensure internal documentation complies with hotel policies and legal standards.

- Prepare daily, weekly, and monthly operational reports for senior management.

- Support basic troubleshooting of office equipment and software systems.

- Liaise with IT support for more complex technical issues.

- Record and summarize guest feedback received by front office or other departments for service improvement analysis.
