Responsibilities:
Procurement Process Execution:
Receive and review purchase requisitions from various departments, ensuring clarity and completeness.
Prepare and issue Request for Quotations (RFQs) and Request for Proposals (RFPs) to potential suppliers.
Evaluate quotations received, compare prices, specifications, and delivery terms to select the most suitable vendors.
Prepare and issue purchase orders (POs) accurately and in a timely manner, ensuring all terms and conditions are clearly stipulated.
Vendor Management & Sourcing:
Maintain and develop strong relationships with existing suppliers.
Research and identify new potential suppliers for various materials and services, ensuring they meet quality, cost, and delivery requirements.
Conduct basic vendor performance evaluation under guidance.
Negotiate favorable terms, conditions, and pricing with suppliers to achieve cost savings and value.
Order Tracking & Follow-up:
Track purchase orders from placement to delivery, ensuring timely arrival of goods and services.
Proactively follow up with suppliers on delivery schedules, resolve any delays or discrepancies, and communicate status updates to internal stakeholders.
Coordinate with logistics and warehouse teams for smooth material receipt and inspection.
Documentation & Record Keeping:
Maintain accurate and organized procurement records, purchase orders, contracts, invoices, and other relevant documents (both physical and digital).
Ensure all procurement activities comply with company policies, procedures, and ethical guidelines.
Inventory Management Support:
Assist in monitoring inventory levels to ensure adequate stock while minimizing holding costs and waste.
Collaborate with production/operations teams to understand material requirements and production schedules.
Market Intelligence:
Stay informed about market trends, commodity prices, and supply chain conditions relevant to our industry.
Communication:
Communicate clearly and effectively with internal departments, suppliers, and other stakeholders.
Fluency in Marathi and Hindi is essential for local vendor interactions and internal communication. Good English proficiency is beneficial for formal communication, tenders, and interactions with national/international suppliers.
