Job Description

project/program support:

assist in the planning, execution, and monitoring of projects or programs.

track project timelines, deliverables, and resource allocation.

help prepare project reports, presentations, and documentation.

identify potential roadblocks and proactively communicate them to the relevant stakeholders.

communication & liaison:

serve as a central point of contact for internal teams, external partners, clients, or vendors.

facilitate effective communication channels to ensure all parties are informed and aligned.

draft and send out correspondence, memos, and updates as required.

coordinate meetings, including scheduling, preparing agendas, taking minutes, and distributing them.

administrative management:

manage schedules, appointments, and calendars for team members or executives.

organize and maintain physical and electronic filing systems.

handle data entry, record-keeping, and database management.

assist with budget tracking, expense reports, and procurement processes for specific initiatives.

resource organization:

coordinate the allocation and utilization of resources, such as equipment, materials, or meeting rooms.

ensure that necessary tools and information are available for team members to perform their tasks.

problem solving & support:

address day-to-day operational issues and provide timely solutions.

offer general administrative support to the department or team as needed.

anticipate needs and proactively offer assistance to ensure smooth operations.
