Handover & Takeover - Log Book with DM's Signature
Ensure you write your presence in Attendance Reg, Log Books and report to DM
Check for the Show Around Rooms, block it and register the same in the log book
Clean the desk & check for the desk tops and the telephones
Organize drawers, keep books in place (Log Book, Complaint Reg, PR Reg, GCC Reg, S A Reg)
Pending issues from the previous shifts
Read log book from previous two shifts & todays ( to do's )
Print arrival, departure, inhouse, VIP/VVIP/Comp//Suites booking lists
Check with housekeeping status of arrival rooms & visit all the arrival rooms personally
Check all check-in info (Welcome letter/envelope/info letter) of the day in case of changes
Check & re-read all complaints of yesterday in 'Complaint Register' to make sure all were resolved
Check VIP/VVIP Amenities - VIP 1-2-3
Inform all depts. Of visits/property tour of the day: To open conf rooms+other restaurants
Prepare brochures + tariff sheets + fact sheets for the visits of the day
File documents in correct files and folders ( Amenities, Check lists, Emails etc.)
Receive and welcome every guests who arrive, give info on hotel + accompany to room
30 minutes after each arrival, call guests in room (by their name) to see if all is ok
To start preparing for tomorrow arrivals: Welcome letters, Amenities vouchers
Make sure there is always someone behind the Desk never leave Desk unattended
Clean up counter, cupboards etc before finishing shift and leaving
Handover & Takeover should be at 15: hrs between morning and evening shift
Re-check the roster to make sure there were no changes made in the duty shift timings
Make sure all is prepared for tomorrows arrivals
Make sure all complaints were resolved & all messages in log book were done
Assist in afternoon briefing and discuss all points
Follow-up of guest complaint + comments (Call all gsts to chk if compl. Are resolved
Update the complaints in the PC without fail
