Overview
The Purchasing and Reservations Executive provides administrative assistance and support, to the Purchasing and Reservations Manager as required. The position is responsible for all reservation activities in relation to all PEAK brands as well as reservation activities in relation to Tailor Made and Customized itineraries as directed by the Manager.
Accountabilities/Objective
Reservations tasks
Prepare itineraries and costings as per the requirement for FITs & GITs trips booked through different PEAK brands.
Ensure Costing are accurate, cost effective and regularly updated
Handle FIT & GIT Hotel & Transport Reservations
Ensure all bookings are made and confirmed accurately and on time.
Provide timely responses to bookings received from sales offices & brands
Group Leaders should receive accurate and complete pre trip/ booking information as required
Instigate systems and create workable timetables
Negotiation with the Hotel & Transport suppliers
Sales Invoices raised and sent to Finance for EOM process along with the costings associated.
No Outstanding Operator Invoices > 30 days associated with Direct Payment.
Communication of FIT & GIT bookings of Brands under PEAK as per our Service Level Agreement
Regular emails on the updates regarding hotel or transport change to Operations Department
Ensure effective communication between departments
Maintain purchase records so as to avoid overpaying to suppliers/vendors for the services.
Develop relationship with key suppliers and maintain regular contact with them, make sure they are giving us best rates in market
Prepare supplier contracts as per the prescribed format.
Monitor service levels as outlined in contracts
Annual Safety Audits Completed and Documented and loaded into server.
Coordinate with Suppliers & Finance team to avoid invoice issues.
