Job Description

Designation: Front Office Executive

Reporting To: Manager- Operations

Job Description: Overall responsible for all Front office job and other office administrative

Front Office Administration

• Maintaining Records and Files

• Managing Correspondence

• Great all Patients at all the time with a smile in a friendly and helpful manner

• Attempt to learn and use Patient’s names at every opportunity

• Guide the patients properly as per their requirements

Maintaining Inward & Outward registers

• Ensure accurate and timely Registration

• Upon Admission, ensure that the Patient completes the registration process completely

• Develop Detailed Knowledge of the Hospital Rooms Locations, Facilities and Types

• Maintain the details regarding the stay period of the patients from IPD


• Cash/ Credit/ Corporate Billing/ Discount Instructions

• Supervision of daily scrolls of all PCC on shift

Communication System

• Doing all the phone calls (Incoming and Outgoing)

• Use proper Telephone manners

• Ensure the immediate response while handling incoming and outgoing calls

• To maintain all call records through a specific software

• To maintain the records of all Telephone numbers as well as extension numbers given to employees

• Handle waiting time and delays

Co-ordination with Patients

• Always maintain the high standards of behaviour, appearance and attitude towards Patients

• Provide courteous Admission/ Discharge services to the patients

Co-ordination with Co-workers

• Develop Detailed Knowledge of the Hospital’s Key Personnel, departments, service, and hours of operation for each

• Communicate with all other departments through the proper channels

• Attends meetings and training as requested

General Administration

• Issuing stationary materials to employees

• General co-ordination & correspondence

General Housekeeping facility management

• To ensure proper housekeeping arrangements and other facilities on day to day basis and co-ordination wi

• Abides by the Medical Staff Bylaws, Code of Medical Ethics, Rules and Regulations of the Medical Staff and those specific to the department/division.
• Provides the highest attainable standard of medical care for the patients for whom he/she is responsible.
• Carries out full range of clinical duties as assigned by the Director/Head of Anaesthesia/ Consultant in accordance with individually approved clinical privileges.
• Participates in the on-call duties as required by the department/division.
• Teaches staff assigned for training purposes, and participates with the Director/Head of Anaesthesia and the Consultant in planning a programme of career development for trainees.
• Participates in the improvement of quality of patient care (Total Quality Management Programme, Quality Assessment Improvement Programme) as applicable.

• To acquire and maintain a valid certification in Advanced Cardiac Life Support ( ACLS ).
• Participates in and/or actively supports approved research projects.
• Deputises for the Consultant as required and shares workload in his specialty during the absence of his colleagues.
• Strives to improve his clinical expertise as well as standard of practice with regard to morbidity and cost effectiveness.
• Participates in the Major Disaster Plan of the hospital, as indicated
• Performs other applicable tasks and duties assigned within the realm of his/her knowledge, skills and abilities, within the hospital and/or affiliated medical facilities.
