Job Description

• Manage end-to-end office communication, including phone calls and correspondence (e-mail, letters, packages/parcels etc.),

• outgoing posts and records data on special deliveries

• Ensuring reception area is tidy and presentable, with all the necessary stationery and material.

• Maintaining logbook for office boys and Visitors.

• Managing the Front Office, Couriers / File Management and other activities like housekeeping, security, travel & ticketing, pantry etc.

• Receiving Mail & Filing Documents, Handling Xerox Machines, Fax Machine.

• Maintaining Contact Details of Key Persons.

• Dealing with Queries and Requests from the Visitors & Employees.

• Knowledge of local language is mandatory.

• General Admin:

• Assisting other Administrative Staff in Wide Range of Office Duties

• Managing daily admin / facility operations in the areas of Office, up keep of Office equipment like cubicles, chairs, lights, AC, Conference rooms, Meetings rooms, reception, coffee machines, Pantry, toilets and AMCs, liaison with Building Management, Property owner etc.,

• Manage the ticketing, visa application, arranging Forex money, hotel and taxi and travel arrangements for all employees. End to end ownership of travel plans of Sales Mangers across the globe.

• Connect with vendors and ensure uniform process within the team on travel tickets for employees.

• Responsible for processing, monitoring and tracking payments.

• Organizing meetings, conferences, making travel arrangements and hotel reservations for guests & foreign delegates.

• Responsible for Facility Management Services Soft Services such as Housekeeping, Security, Pest Control, Carpentry, Plumbing, fire and safety etc.

• Candidate Profile

• Candidate who are working as Receptionist and also handling Admin profile.

• Candidate with excellent communication skills.

• Having knowledge of Corporate Communications (drafting Letters, memos, office notes etc.)
